The Castaway integrations function allows you to quickly and accurately pull account details and balances from various external sources across into Castaway. We have integrations with:
- Xero
- Quickbooks Online
- MYOB
- Sage Business Cloud Accounting
- Sage 50 (UK version)
- Excel
When using the Castaway integration function, we always recommend using a mapping file.
What is a Mapping File?
A Mapping File (*.pxim file extension) records how the accounts/nominals/records from your external source maps across to the Castaway chart of accounts.
Mapping Files are completely separate from your forecast file and they need to be created if you wish to use the Integrations feature AGAIN for the same Castaway file (and the same external app)
Once you create and save it, next time you use integration for that forecast file, you can select that mapping file by clicking on Open mapping File in external sources screen, BEFORE you click on Load File Data and move to the mapping screen.
Remember! the golden rule of using integration function is to use one mapping file for each Forecast file.
A note. You don't need to use a mapping file ... but you probably should!
Note that Castaway does not force you to use a mapping file. It is possible to map and import the chart of account from your external source into Castaway without using a mapping file. However please note that you will not be able to save the mapping work you did. This might be fine for a one-off exercise. But if you intend importing data from the same source multiple times (e.g. when updating monthly figures), there won't be any saved record of linkage or connection between Castaway accounts and your source Integration. You will have to redo the mapping the next time you integrate.
If you've forgotten to create a mapping file and have started mapping, that's fine! Just click Back and return to the Integration screen to create a New Mapping File. OR, if you've completed mapping and are ready to import Opening Balances, click on Import Values > Opening Balance > OK. Castaway will prompt you to create and save a mapping file if it hasn't already been done.
